Introduction

To join roomsintown complete the simple registration form.

We reserve the right to refuse any applications we deem to be unsuitable. Currently we are inviting only ‘Property Mentor’ landlords of Executive rooms to register because our aim is to maintain an above average standard of accommodation (and thereby higher than average room price). We may need to restrict landlords registering in certain areas if more than one landlord has registered prior to your application and we consider that we already have adequate coverage in the principal town in which your property is based. However we believe two landlords per ‘Town’ is justifiable. Claim your ‘Town’ now!

Properties you submit will be on line within 5 working days of receipt where possible, however please allow upto 14 days after receipt of ALL property details (including images).

Features and benefits of RoomsinTown

It is not difficult to create a website but creating a professionally designed website that is found by the major search engines is both time consuming and expensive. By combining with like minded Landlords we can pool our resources more effectively particularly if you only have a small number of properties with which to recoup your advertising investment. The web site designer has been selected after extensive research to design the website in such a way to be highly ranked by the major search engines.
We will strive to improve what i hope you'll agree is already an impressive site by regularly updating and extending the information it contains. This is an ongoing activity that can be costly if carried out by just one individual.

We have a detailed and accurate statistics and analysis package monitoring the website, which helps us to ensure maximum exposure and visibility through the search engines.

In addition advertising to eliminate voids can be expensive and ineffective. We believe the web site will get better coverage than typical advertising as often potential clients are not from within the immediate locality of a property.

Subscription

The current membership joining fee is just £500 inclusive which includes use throughout 2007 and listing of up to three of your properties (at any time within this year).

The joining fee covers your contribution for the initial website and logo design, website set-up, administration, support, registrations including trademark ( ™) , and listings on search engines as applicable.

Your joining fee also permits the use of RoomsinTown as a trading name for the duration of your paid up membership. Please be advised membership does not permit the use of the RoomsinTown name to be used or incorporated in any way within any limited company registrations you make, but we encourage the use of it as your trading name in all the usual ways.

e.g. X.Y. property services T/A RoomsinTown, which can be optionally followed by place name if applicable e.g. /Milton Keynes. Alternatively you may style yourself ‘X.Y. property services are part of the RoomsinTown group’.

As a gift to all members after joining you will receive 250 personalised RoomsinTown business cards. There is space on the application form to write your personalisation details in order for these to be printed correctly for you.

In time we will work on bringing you added value with benefits such as national advertising, affiliation to a landlord association or other recognised schemes.

Annual website renewal fee which includes the RoomsinTown membership renewal charge will be kept at less than £1.50 a week for up to three houses you’re advertising. I guarantee it to remain at just £75.00 a year for 2008 renewals if you join now.

No monthly subscription just one payment for 2007 membership (up to 12 months depending on when you join).

There will be a low price of £90.00 inclusive for any additional houses advertised (three included in initial fee).

Creating the particulars for your property

Designated area ‘Town

You will need to indicate which ‘Town(s)’ you are claiming. As mentioned in the introduction we may need to restrict the number of members representing a ‘Town’ and initial thoughts are to limit this to two members per ‘Town’. This is to prevent unhealthy competition between members or at least on the web site!

Large cities will be split into areas e.g. London is divided into areas such as Islington, City, Richmond etc (see web site as example). If you require areas not listed specifically please request what is acceptable.

Descriptions

‘Town’ Description

If you are the first to claim the ‘Town’ you will need to create a front ‘Town’ page. This needs to be a brief description, approximately 100 words, highlighting some of the attractions of the ‘Town’ you have selected’

If you are the second person claiming a ‘Town’, you can discuss with your ‘Town’ colleague any amendments you would like to have.

The website editor reserves the right to make amendments to all editorial.

‘Town’ Info sites

A key success factor of any web site is getting ranked by the search engines. This is more likely by having links to other websites. If websites eventually reciprocate and link back to RoomsinTown we will have achieved our aim. Initially linking to them we increase web traffic which is very important for getting a high ranking website which the search engines can then find when they ‘search’ us.

We want to link back to local businesses and amenities within every listed town. Suggestions include links to your local health club e.g. www.esporta.com or museum, or other places of interest.

Do a search on ‘Google’ for your town and see what you come up with but check the links work and that you are happy to be associated with them.

Consider linking also to local businesses owned by your friends, colleagues and associates.

Many a prospective tenant or licensee will be coming to you from other parts of the country, or world. Links are like having a bookcase and notice board in the ‘lobby’ for useful reference. You can be as informative as you like here.

Be the best concierge you can. Keep the guests happy.

Property Description

The property address and a brief description of approximately 25 words should be included for the ‘Town’ main page.

Property Details

Specific details of the property need to be created. We suggest these should be approximately 75 words to highlight the features of your property and to be uniform throughout the site but this is of course flexible as some properties have lots to ‘write home’ about.

Images

It is best if you have at least one photograph, internal or external, of your property. Up to eight photographs can be used per property. We can also run your entry without a photograph but this will have less marketing impact.

In this case we will insert the RoomsinTown logo with ‘no photograph available’ underneath but you are then missing a great opportunity so please try to find someone to help if you don’t have a way of taking at least one photo yourself. We prefer a digital format but other formats can be loaded for an additional cost.

Use internal pictures of bedrooms or communal rooms. Estate agents particulars often give a good example of how to market a property. Use a good outside picture of the property shown in its best light (literally). We would recommend the following eight photographs:

  • Outside: Front view
  • Outside: Rear garden (if applicable)
  • Kitchen
  • Communal Lounge area
  • Bathroom
  • Bedrooms – three examples

Floor Plans

These give any potential client an understanding of what the layout is. These can be lifted from house particulars or if you want them drawn professionally from a sketch we offer this via an email/postal service. You will need your room measurements and outline drawing. Approximate charge for this service is £20 per property with all funds going direct to an impoverished architecture student! Please request ‘his’ details if required.

Contact details and email address

When a prospective client (tenant) completes the contact template for your property via the website the request will be automatically emailed to you. You will then be able to make the necessary contact and manage the request. You will need to provide an email address in order for this request to reach you. The prospective client will not see your ‘redirection’ email address.

As part of your membership you will be able to use a RoomsinTown email address e.g. yourfullname@roomsintown.co.uk During the registration process you will be asked what format you would like your email address to take. With this email address you will be able to send emails (using Microsoft Office Outlook or equivalent) under this chosen pseudonym creating a more professional appearance with clients.

Business cards

As part of your membership you will receive 250 personalised business cards.

 

 

 

Branding

The RoomsinTown logo is downloadable and will be sent to you once you are registered. You can use the logo as you wish * on any stationery items as if it were your own. There will soon be a RoomsinTown stationery collection available from us such as standard headed paper you can then overlay your personalised printer template onto. The advantage of this is you can buy small quantities ‘off the shelf’ at keen prices and not be subject to huge print run orders you have to wait weeks to get. We all benefit from building RoomsinTown into a national brand.

* You may not ‘sell’ RoomsinTown logo items you design or commission to anyone including your tenants or other RoomsinTown members without prior written approval from the Head Office in Rugby.

Uploading of your property information

Once your details have been received your pages will be created. If all the details are correct the normal turnaround time will be 3 working days from receipt of your details. If it is to be longer than this due to the volume of details in the early days, you will be contacted with expected upload times.

Once the new pages are loaded you will be notified to review your entry, you have the opportunity to edit any omission or error and check you are happy with how it looks and works in general.

I think it’s a self explanatory site so that when a viewer is interested and clicks on your property it is your Roomsintown email address that will be seen. This will route automatically to whatever email address you give us on your application form but as stated above web enquirers won’t know, or be able to see the email it forwards to.

We will consider all suggestions in order to improve the site and create increased business for everyone. Please advise if you have any marketing ideas which could be of use to other members so we can make use of opportunities collectively.
